Position Summary:The Executive Administrative Assistant provides varied, complex, and confidential administrative support to various executives and serves as a liaison between UMC and other department heads, government officials, and community groups. The ideal candidate will demonstrate clear, concise communication, flawless attention to detail, and the ability to navigate multiple priorities across a diverse group of executives. This role requires a skilled professional who can anticipate the nuanced needs of multifaceted executives and deliver elevated support to ensure UMC is meeting its mission of serving our community.
Job RequirementEducation/Experience:- Equivalent to completion of two (2) years of college-level coursework in business, management, or a closely related field.
- Four (4) years of executive administrative assistant experience, which has included providing direct administrative support to executive-level staff.
Licensing/Certification Requirements:Some positions may require Notary Public Certification.
Additional Position RequirementsPriority consideration will be given to candidates who have the following experience requirements DOCUMENTED in their APPLICATION:
- Bachelor's degree in business administration, healthcare administration, or a closely related field.
- Five (5) or more years of recent (within the last year) experience as an executive assistant directly supporting multiple executives (e.g., VP or higher) within an acute care hospital or healthcare setting.
- Lean Six Sigma certification, or ability to demonstrate a process/continuous improvement mindset.
- Advanced experience with MS Office 365, including but not limited to Word, Excel, PowerPoint, Teams, and Planner.
- Resilience to successfully manage shifting priorities and high-pressure deadlines while maintaining professionalism.
Knowledge, Skills, Abilities, and Physical RequirementsKnowledge of:Office administrative and secretarial practices and procedures; UMC policies and procedures; patient rights; department and hospital safety practices and principles; UMC programs, services and organizational structure; laws and regulations governing health care; correct English usage, including spelling, grammar, punctuation and vocabulary; record keeping, report preparation, filing methods and records management techniques; infection control policies and procedures; handling, storage, use and disposal of hazardous materials; department and hospital emergency response policies and procedures.
Skill in:Providing varied, responsible, and often confidential secretarial and office administrative assistance to high-level staff; coordinating supervisor's activities and schedules; maintaining confidentiality of sensitive information; using tact, discretion, initiative and independent judgment within established guidelines; using computers and related software applications; using general office equipment such as phones, copiers and facsimiles; contributing effectively to the accomplishment of team/work unit goals, objectives and activities; communicating effectively in both oral and written forms; establishing and maintaining effective working relationships with all personnel contacted in the course of duties; efficient, effective and safe use of equipment.
Physical Requirements and Working Conditions:Mobility to work in a typical office setting and use standard office equipment, vision to read printed materials and a VDT screen, and hearing and speech to communicate in person and over the telephone. Exert up to 10 pounds of force occasionally and/or an eligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
