Position Summary

The Administrative Support Coordinator I is responsible for supporting the majority of day-to-day operations of the department office and administrative support functions for the Department of Ethnic Studies. This position provides a full range of clerical and administrative support to the Department Chair, ASC II, and faculty. The ASC I position holds primary responsibility for front desk reception and related business operations, administrative support for GE Area F courses, and liaising with campus programs that most frequently partner and coordinate with the Ethnic Studies, i.e., EOP, Full Circle Project, Cooper Woodson program, and CAMP. This position performs a variety of administrative support duties under the lead direction from the department ASC II that support department office operations, academic programs, and events. The position uses judgment and discretion to independently interpret and apply detailed knowledge of university and department policies and procedures, as well as knowledge of organizations governing students, faculty and staff.

FLSA: Non-Exempt (Eligible for overtime compensation)

Anticipated Hiring Range: $3864 per month - $3941 per month. Anticipated hiring range commensurate with candidate's education, experience, skills, and training.

Department Information

The Ethnic Studies Department has been in existence for over 50 years at Sacramento State. It is a degree-granting interdisciplinary department offering course work in the study of past and present histories, cultures and issues that define ethnic group experiences in the United States. In addition to its teaching mission, the department is involved in research and community-based projects. Active commitment in the community was and continues to be a priority for the department to effect positive change. The Ethnic Studies Department is comprised of four programs that mirror the student participants of the 1968 Third World Strike in San Francisco State University and 1969 at Berkeley: Asian American Studies; Chicanx/Latinx Studies; Native American Studies; and Pan African Studies.

Minimum Qualifications

Regular (Probationary)Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications

1. Experience providing clerical and administrative support functions in a complex administrative environment
2. Experience in independently setting priorities, meeting deadlines, and multi-tasking in a work environment with frequent interruptions
3. Basic knowledge of and ability to follow standard office procedures (i.e., filing, maintaining of records, answering phone and transferring of voicemail messages)
4. Thorough knowledge in using standard office software such as Microsoft Office (i.e., Word, Excel, PowerPoint, Outlook) and the Internet
5. Good written and verbal communication skills with the ability to convey information clearly and accurately in the form of correspondence and reports
6. Strong interpersonal skills.
7. Ability to maintain positive relationships with faculty, administrations, other staff, students, and community members
8. Ability to perform a variety of clerical/administrative duties and data entry with speed and accuracy
9. Demonstrated ability to coordinate meetings and events
10. Ability to develop, revise and maintain department website
11. Familiarity with budget and financial record tracking
12. Ability to use judgment and discretion and maintain the confidentiality of sensitive materials.
13. Experience working with people from diverse backgrounds.
14. Experience with promoting diversity, equity, and inclusion
15. Ability to apply judgment, discretion, and initiative and make appropriate recommendations
16. Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist
17. Ability to perform standard business math, such as calculate ratios and percentages

20. Bachelor’s degree from an accredited college or university
21. Familiar with personnel procedures for faculty and staff
22. Knowledge of the discipline of Ethnic Studies
23. Experience working in an institution of higher education
