Salary

The anticipated salary hiring range is up to $7,500 per month, commensurate with qualifications and experience.

The salary range for this classification is $4,027 to $11,851 per month.

Position Information

The California State University, Office of the Chancellor, is seeking a CHRS Recruiting Systems Support Specialist to support 23 CSU campuses, the Chancellor’s Office and the Systemwide Human Resources (SWHR) team, to ensure that business requirements are implemented within HR technical systems, including but not limited to CHRS Recruiting, Accurate Background and Tracker I9. This position will maintain “super user” access as a functional system administrator for the CHRS Recruiting system (SaaS system) to support for all CSU campuses. The incumbent is also required to work closely with other team members as well as interact with Systemwide HR (SWHR), Common Management System (CMS), Communications, Campus HR professionals, subject matter experts (SMEs), and vendor client success managers.

The incumbent will manage ServiceNow ticketing system for CHRS Recruiting to problem solve for campus users and support campuses’ day-to-day operations. Additionally, incumbent will work closely with other team members to implement and manage system changes resulted from campus requests, systemwide-initiatives, compliance requirements, and/or improved functionalities provided by the system vendors. In this capacity, the incumbent is expected to maintain a high level of understanding of the Recruiting system configurations and functionalities to ensure that they meet SWHR and campus business requirements.

The incumbent will work closely with other team members to support the CHRS Recruiting governance structure - the LEADS group and the CoP groups, governance team members as well as their projects and activities. The incumbent will provide project management assistance to volunteer team leaders, including but not limited to, prepare meeting agendas and materials; document discussion outcomes and decisions; and ensure follow-up actions are assigned and completed.

In this role, the incumbent will be privy to, and consistently utilize sensitive and highly confidential data related to collective bargaining activities/grievance processing. Such information would include, but is not limited to data used in collective bargaining and other related activities; and may process and administer information contained in case files for PERB unfair labor practice cases, and contract grievance arbitration cases.

This position is approved for telecommuting (two days telecommuting, three days in office (in-person)) with onsite work at the main headquarters located in Long Beach, California.

Responsibilities

Under the general direction of the HRIS Process Manager, CHRS Recruiting, the CHRS Recruiting Systems Support Specialist will:

-Serves as a super user for the CHRS Recruiting system, maintaining, updating, and implementing system configuration changes and updates, and manage documentation for such activities when needed.

-Conduct regular system audits and cleanups to maintain data integrity.

-Conduct regular security access audits to ensure security of HR information through established security protocols.

-Ongoing Production support of CHRS Recruiting (PageUp), including but not limited to researching, testing and resolving system problems and/or functional gaps.

-Ongoing Production support of other related systems - accurate background check, tracker I9 and recruitment marketing.

-Conduct system testing for newly released new functionalities.

-Maintain expert level knowledge of trends and developments in the supported systems and their new functionalities.

-Design, document and implement any new functionalities applicable to CSU campuses to improve work efficiency.

-Conduct regular campus check-in meetings to review system usage and concerns.

-Work closely with other team members and the CHRS Recruiting governance teams to manage the monthly collaborative calls with campus system users.

-Compile and present reports related to the recruiting activities to SWHR and campuses upon request.

-Work closely with the training team to maintain existing end-user training guides.

-Work closely with other team members and the CHRS Recruiting governance team to coordinate business requirements collection from different stakeholders to maintain, clarify or update recruiting related business requirements to apply to CHRS recruiting and related systems.

-Provide backup support for team members and perform other duties as required.

Qualifications

This position requires:

-Bachelor's degree in Human Resources or related functional area or an equivalent combination of education and experience is required.

-2-4 years of demonstrated experience working with HRIS software and systems in a fast-paced, demanding and evolving environment.

-Proven experience to compile and analyze large data sets, propose and present recommendations to large user-groups and a variety of stake-holders.

-Must have general understanding of the development and/or implementation life cycle, including: requirements gathering, gap analysis, application configuration, functional specifications, system integration, reporting functions, product enhancement and support.

-Must have excellent written and verbal communication skills, and strong interpersonal skills to work effectively with a wide variety of stakeholders.

-Must be system savvy and able to learn various applications such as Sharepoint, Smart Sheets, Visio.

-Must be able to explain complex concepts and processes clearly and effectively, and translate business requirements into functional specifications and/or business process recommendations.

-Must be able to adapt to a changing environment and shifting priorities.

-Demonstrated project and time management skills required to prioritize multiple competing tasks.

-Excellent organizational skills and strong attention to detail required.

-Must have demonstrated ability to work independently with high initiative as a self-motivated, creative thinker to find solutions that are "outside the box".

Preferred Qualifications

-2-4 years of experience triaging system configuration or functionality, or client support experience in higher ed environment preferred issues preferred.

-Experience working a highly regulated environment and/or a variety of stakeholders preferred.

-Experience with either Human Resources or Faculty Affairs business processes on any CSU campuses highly preferred.

-Experience working with an Applicant Tracking Systems, such as PageUp, is highly preferred.

-Solid knowledge on staffing and/or recruitment related business processes preferred.
