Administrative Support Assistant
Forensic Treatment Center provides specialized care for clients diagnosed with mental illness. The North Campus is looking for a detailed oriented Administrative Support Assistant to support the Assistant CNE and works directly with the designated House Supervisor on duty.
Responsibilities :
Primary duty is the scheduling of employees. Maintain, with relative independence, a significant phase or segment of a clerical process or office activity
Makes frequent decisions in accordance with agency policies, rules and/or procedures
Types and edits a variety of material, which may contain technical or specialized terminology. Organizes and coordinates workflow with other staffing coordinators, establish priorities and deadlines. Spot check all work for accuracy, timeliness and conformance with procedures and processes
Mentors and advises staff on work issues
Maintain fiscal records requiring limited knowledge of government accounting methods
Oversee and/or participates in the preparation of standardized staffing reports
Attend meetings as scheduled and provide input on staffing dilemmas.
Establish and maintain complex filing system.
Prepare and/or oversee the preparation of records for storage and/or archiving and maintain correspondence and report files
Prepare and/or oversee the processing of supply requisitions, expense accounts and/or other program or agency documents.
Answer all incoming calls timely and direct calls to the appropriate party.
Maintain calendars and schedules; coordinates meeting logistics and arranges travel and accommodations
Performs, reviews and verifies complex computations involving the application of rules and regulations. Enters, updates and/or retrieves information; develop spreadsheets and databases
Carry out assigned responsibilities with considerable independence and make decisions concerning work procedures and processes
Performs other related work as assigned
Eligibility :
No discipline within the last 12 months
1-3 years of relevant experience; substitutions may be allowed
Ability to overcome complex and stressful situations by planning and utilizing efficient time management skills to meet deadlines
Proficient knowledge of computer software (Microsoft Word, Excel), CareWare and other scheduling programs
Good problem solving and organizational skills
Excellent communication and interpersonal skills
Reliable with respect to confidentiality
