PLEASE NOTE: The starting salary placement depends on qualifications and experience and is anticipated to be in the range of $5,537.00 per month to $6,400.00 per month.

About the Position

Student Equity and Success (SEAS) programs serve over 1,600 students. The program provides a caring and supportive environment, which promotes academic growth and personal development. Programs housed with SEAS include Educational Opportunity Program (EOP), EXCEL, GANAS, PIAA, Renaissance Scholars Program (RSP and the Sankofa Scholars Program. SEAS programs provide student success initiatives designed to retain and graduate low income, first generation, and historically underserved student populations.

Under the general direction of the Director, SEAS Programs, the SEAS Operations & Budget Coordinator is responsible for providing leadership and oversight of the operations and program maintenance of the SEAS programs, as well as the Associate Vice President’s cluster budget operations. The incumbent provides lead direction for the development and implementation of policies, procedures and services to ensure that the programs function effectively and efficiently. Specifically, the incumbent will provide lead guidance to the SEAS Administrative Support team to ensure day to day duties are understood and carried out.

The SEAS Operations & Budget Coordinator is responsible for ensuring that personnel functions (e.g. hire, train and supervise student staff) and program budgets are in alignment with the goals of SEAS. This position develops and maintains budget policies and procedures and maintains oversight for each department. The incumbent keeps the supervisor informed of allocations/expenditures and is responsible for overall analysis and support in developing program budgets, providing quarterly updates to their supervisor, the Division Budget Director and the Associate Vice President Equity and Belonging/Dean of Students. This position provides regular training sessions and meetings with program work leads, monitors budget expenditures from numerous department accounts, General Fund, including Cal State East Bay Foundation, Inc., and special grants. In conjunction with the supervisor this position provides annual training for developing annual budgets.

The Operations & Budget Coordinator is responsible for developing and implementing an on-boarding program for all new staff within SEAS and works with the appropriate administrator to ensure that employees who leave the department have all required paperwork completed. Additionally, the incumbent will develop and implement full time on-going professional development to ensure staff at all levels have the tools and skills they need to complete their job and to prepare for new opportunities. The position will provide yearly assessment and evaluation of training initiatives, program services and budget to ensure goals are being met and to plan for future initiatives.

Responsibilities

Administrative Program Support: Responsible for the coordination of operations for the entire Student Equity and Success programs. Develop and implement procedures, programs and services to ensure that the programs function effectively and efficiently.

Leadership and Personnel: Responsible for maintenance of personnel functions and providing lead guidance to administrative and program support staff.

Budget: Maintain department budget: Monitor budget expenditures from numerous department accounts, General Fund, and special grants; including the budgets within the Student Equity and Success cohort. Develop and maintain a budget and inventory control system and keep the Associate Vice President and other administrative staff informed of allocations/expenditures.
