POSITION PURPOSE: Under general direction of the Assistant Director of Enrollment Services/Assistant Registrar, the Senior Graduate and International Admissions Officer provides admission evaluation and decision-making for all levels related to admission applications, with special emphasis on graduate and international admission. The Senior Graduation and International Admissions Officer is experienced in all areas of CSU admission requirements for undergraduate, graduate, and international levels and can render and lead professional services and support related to the initial admissions eligibility advisement for this phase of the overall student admissions lifecycle. The position interacts with a variety of constituents and stakeholders which may involve complex situations where an in-depth analysis may be required. These situations may also require additional consideration initiating or necessitating a change, improvement, or revision in policy or procedure.

The Senior Graduate and International Admissions Officer contributes and supports the overall goals of the university, comprehends and follows guidelines based on given rules and regulations as sanctioned by agencies and organizations such as the CSU and other specific division and department policies and procedures to ensure compliance, timely processing, and evaluation of student applicants. The position handles sensitive and complex issues that may have impact across the program, campus community, and the overall organization requiring the ability to evaluate situations and initiate actions which may require implementing administrative change in procedure. The position also provides department operational support to realize and achieve its goals and objectives by conducting studies, collecting data, providing analysis, and reports. The role is responsible for other assigned special programs the university operates, including leading an assigned specific student assistant support staff to ensure a successful operation and student experience.

DUTIES & RESPONSIBILITIES:

Graduate Admissions

• Lead comprehensive professional services and support by directly interacting with individual students, staff, and community on graduate application requirements. Analyze, evaluate, and address complex and sensitive concerns of related to admissions and residency, providing expert guidance and developing tailored solutions from pre-admission to post-admission phases.
• Analyze and synthesize data from queries to produce comprehensive reports on current applications across 14 master’s programs, 1 doctoral program, credential programs, and second bachelor’s degree seekers. Use this data to interpret trends, manage follow-ups, and provide strategic advisement to ensure timely submission of pending materials and program decisions. Develop end-of-cycle quantitative and qualitive reports to inform future best practices.
• Provide expert interpretation and communication of CSU and campus policies and procedures, and specific program requirements to current and prospective students. Conduct preliminary admissions reviews, including the evaluation of domestic and international transcripts and/or test to ensure compliance with Title V requirements.
• Review complex and sensitive residency required documentation to execute classification or re-classification based on CSU policy. Directly contact the student with final status of requested classification and next steps. Implement data integrity by updating Enrollment Reporting Systems (ERS) ensuring that applicant information is accurate from beginning of admission cycle to matriculation.
• Train program directors, department chairs, and staff on new tools and provides best practices essential for making final admission decisions. Provide ongoing support to enhance their understanding and implementation of admissions processes.
• Create electronic admission status letters to update applicants of the stage they are in during application cycle.
• Create and maintain Office of Graduate Admission department website to amplify perspective and clearly communicate what the overall graduate application process is. Continuously assess and refine day-to-day tasks to establish future best practices.
• Analyze and identify the need for and develop new procedures to support department operational efficiency and increase yield of new students. Coordinate communication of eligibility for enrollment and next steps to program department chairs, program directors, and staff.
• Create and implement application processing timelines and ensure both program and student are aware of current admission application status through new electronic letter and updated query.
• Engage with regional and community stakeholders to develop tailored admissions approaches and timelines that address specific needs, ultimately contributing to the increase of professionals in critical fields.
• Provide expert analysis, motivation, and advisement to departments on current and future application pools. Utilize data from previous admissions cycles, including number of applications per month and trends in complete files, to increase complete application submissions through Cal State Apply. Offer strategic support in following up with individual applicants.
• Train students, administration, faculty, staff, and community on overall graduate admission process to ensure continuation of formalized admission process. Offer in-depth advisement on complex issues regarding eligibility and guide stakeholders through next steps.
• Track applications by creating student checklists and reviewing complete application ready for review files.
• Provie expert-level support and guidance to applicant inquiries, addressing both general and complex questions.
• Guide and instruct the Graduate Student Center staff department on when to ensure Program Admission approval is needed and continuous follow-up by utilizing query reports, correspondence, and OnBase program.
• Coordinate and consult with each Graduate Program Director on available programs offered, program requirements, and deadlines for the term. Track and submit final list to CSU Chancellor’s office for public viewing. Ensure all programs, requirements, and deadlines are accurately represented.
• Configure and lead graduate admission-related updates to Cal State Apply by setting guidelines and requirements by certain deadlines to ensure best practices for new applicants to submit both the university and program application.
• Deliver presentations to campus community on changes to the application based on academic cycle and specific populations.
• Act as the primary contact for troubleshooting and completion of applications, such as requesting review of complex or sensitive case-by-case approvals of application waivers and/or late application codes.

International Admissions

• Evaluate international (F-1, J-1, etc.) applicants for CSU eligibility for undergraduate and graduate admission. Render admissions decisions based on a thorough analysis of academic coursework from international or equivalency-based transcripts.
• Lead successful application flow by utilizing in-progress applicant information and data to inform, strategize, and facilitate international admission recruiting efforts.
• Work in conjunction with the Office of International Students and Programs, Office of Athletics, and other departments to inform and communicate with international students, cultivating and ensuring a streamlined admissions experience to the university.
• Develop and maintain engaging relationships and correspond with international student touchpoints (e.g., international students and programs), keeping other stakeholders informed of incoming applicants using data and information through regularly scheduled meetings.
• Serve in the capacity as a Designated School Official (DSO) as needed, to certify students under U.S. Homeland Security requirements. Ensure compliance with all regulations and maintain accurate records.
• Collaborate with colleagues to facilitate international student recruitment by sharing applicant information for outreach, communication, and follow-through efforts. Report data and trends on applicant behavior based on observations received from applicants.

REQUIRED QUALIFICATIONS:

EDUCATION & EXPERIENCE - Equivalent to graduation from a four-year college or university in a related field plus upper division or graduate course work in counseling techniques, interviewing and conflict resolution where such are job related and four (4) years of progressively responsible professional student services work experience which includes experience in advising students individually and in groups, and in analysis and resolution of complex student services problems. A master’s degree in counseling, Clinical Psychology, Social Work or a job-related field may be substituted for one (1) year of professional experience. A doctorate degree and the appropriate internship or clinical training in counseling, guidance or a job-related field may be substituted for two (2) years of the required professional experience for positions with a major responsibility for professional, personal or career counseling.

PREFERRED QUALIFICATIONS:

• • Earned master’s degree from an accredited institution.
  • Experience with evaluation of international or foreign transcripts and credentials.
  • Experience with all levels of admission processing, decision-making based on CSU admissions requirements, both at the graduate and undergraduate level.
  • Experience in highly complex procedures related to admission to the university, transcript evaluations, applying international, domestic, and NCAA rules, regulations, and policy toward admission eligibility.
  • Experience in academic policy and Title V educational code, and relative CSU policies pertaining to admission to the University.
  • Skilled in department-based technologies including student information systems, document management systems, client- relationship systems to facilitate the process of recruitment and admissions.
  • Experienced in program development for student initiatives in a lead capacity.
  • Demonstrated skills in an institutional/educational environment possessing a customer-oriented and service-centered attitude.

PHYSICAL DEMANDS: SEDENTARY WORK - involves mainly sitting; minimal walking and standing; lifting light weight objects limited to 15 pounds.
