Description
RoleUnder general supervision, administers YCSO’s uniforms, equipment, and supply functions. Obtains bids and oversees ordering, receiving, storing, distributing, and conducting inventory, and maintaining inventory records for all YCSO uniforms, equipment, and supply functions. Monitors and tracks divisional budgets, to include estimating expenditures, creating, and processing purchase requisitions, and processing invoices and payments.
Major Duties, Responsibilities- Orders, maintains, issues, and monitors the inventory of all department issued equipment which includes firearms, less lethal devices, first aid equipment, communications equipment, and uniformed items.
- Researches suppliers and vendors, identifies purchasing opportunities, obtains cost estimates, and secures price quotations upon determining availability of goods including ammunition, firearms, and less lethal munitions.
- Maintains inventory using agency recordkeeping system and checks inventory of representatives on monthly basis to ensure issued items are in good working order.
- Ensures all firearms meet readiness through inspections, processes returns to firearm manufacture if repairs cannot be completed by agency armorer.
- Serves as liaison with vendors; informs and negotiates with vendors about billing issues, late deliveries, shortages, or damaged materials.
- Negotiates with suppliers to develop cost savings and/or improve the delivery and effectiveness of existing contracts.
- Analyzes past expenditures, expected needs and future cost projections related to uniform, equipment, and supplies; reviews year-to-date spending reports and monitors budget, recommends adjustments; works to ensure the most cost-effective alternatives are identified when planning expenditures.
- Assists in preparation and coordination of division budget; prepares cost estimates for budget recommendations; maintains budget files, tracks, and reconciles department budget accounts, expenditures, transactions, financial statements, and reports; investigates discrepancies; estimates expenditures; updates management on budget problems, policies and procedures.
- Assists in the development of policies and procedures as it relates to uniforms, equipment, and supplies.
- Performs other job-related duties as assigned.
Minimum QualificationsEducation: High school diploma or equivalent.
Experience: A minimum of three (3) years of administrative support experience in the recording and dissemination of information, property storage responsibility, and/or asset management/ inventory.
Additional Requirements:Must possess a valid Arizona driver’s license. Must possess current Armorer’s Certification and/or the ability to obtain an Armorer’s Certification on approved weapons platforms within one (1) year of hire. All persons applying for employment with the Sheriff’s Office shall be required to meet the following general qualifications: integrity, honesty, dependability, industry thoroughness, accuracy, good judgment, initiative, and courtesy. All persons will be required to complete a thorough background investigation to include, but not limited to polygraph, psychological, and physical fitness test. All persons must successfully complete a minimum six (6) month probation period.

- Researching and acquiring online purchases and facilitating transactions utilizing a charge account card.
- Navigating vendor websites efficiently and effectively to make purchases.
- Communicating effectively verbally and in writing and communicating orally in a face-to-face setting and by telephone with public and employees.
- Establishing and maintaining effective working relationships with employees, other agencies, and the public.
- Organization and adherence to detail.
Ability to:- Keep current, accurate records on supplies and disbursed equipment.
- Interpret and apply information contained in technical parts and repair manuals effectively and efficiently.
- Develop and maintain effective working relationships with associates, employees of other departments, representatives of other organizations, County officials, and the public.
- Keep management informed of key operating issues affecting the department.
- Remain current in knowledge required to perform assigned duties.
- Handle confidential matters and maintain discretion always.
- Act with courtesy, tact, and diplomacy.
Work Environment:The work environment is associated with an office or County vehicle. May include exposure to loud noise, machinery, dust, fumes, mist, and chemicals.
Physical Requirements:Ability to sit or stand for extended periods of time. Sufficient vision to read printed materials and a computer screen; hearing and speech ability to communicate effective in-person and telephonically. Capable of frequent repetitive movement of arms, fingers, and wrists. Ability to walk, kneel, crouch, and lift and carry up to 50 pounds.
