The Code Compliance Department is seeking a detail-oriented Administrative Assistant to serve as the department’s Human Resource Coordinator (HRC). Additionally, this position will act as the key point of contact for the department’s Workers’ Compensation claims while overseeing routine administrative and technical tasks including special projects as needed.
We are looking for a critical thinker who can quickly adapt to changing situations. The ideal candidate will have experience with workers’ compensation processes and administrative support, along with strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The candidate should also have excellent communication and interpersonal skills to collaborate effectively across teams, as well as a proactive and collaborative attitude, demonstrating initiative and the ability to build strong working relationships.
Minimum Qualifications: - Associate's degree from an accredited college with major course work in Business Management, Public Administration, Business Administration or related field.
- Four (4) years of clerical and administrative experience.
Preferred Qualifications: - Experience handling Human Resources functions, including medical leave requests, payroll, and payroll processing.
- Experienced in managing high volume worker’s compensation claims.
- Intermediate proficiency in Microsoft Office Suite (Outlook, Word, Excel), with strong experience in Excel.
- Advanced knowledge of PeopleSoft (or similar Human Capital Management system) with experience in position management and processing personnel actions.
- Experience in interpreting and applying policies and procedures.
- Strong communication skills, with an emphasis on customer service, documentation, and report preparation.
- Demonstrated adaptability and a proactive approach to managing HR challenges and tasks.
The Administrative Assistant job responsibilities include: - Provide confidential and complex administrative and fiscal support to the daily operations of the various Code Compliance divisions.
- Participate in fiscal activities and providing staff support including payroll, medical records coordination, workers’ compensation, and other personnel transactions as assigned.
- Serve as the department Worker’s Compensation Liaison (WCL) managing the workers' compensation claims process, ensuring compliance with regulations, and serving as a point of contact between employees, insurance carriers.
- Serve as the department Human Resources Coordinator (HRC), Medical Records Custodian (MRC), and Timekeeper, and act as a liaison between the department and Human Resources.
- Assist with managing the hiring process internally for various department positions including temporary, seasonal, and intern positions.
