Description
DescriptionThe Vehicle Maintenance Administrative Coordinator performs a variety of clerical and administrative work to support activities for the Vehicle Maintenance Division. Work involves comprising and maintaining various computerized files, creating reports, working in multiple inventories and files, as well as preparing correspondence and reports. This position is also responsible for managing all aspects of the budget process for the division.
Examples of DutiesRecords maintenance and repair work performed on individual vehicles and maintains inventory of fuel and oil supplies.
Manages the budget process; including researching pricing, determining appropriate spending, processing budget amendments, overseeing budget compliance, and compiling the yearly budget recommendations. Runs reports for budget pro to show progress for the previous budget year and forecast for the upcoming budget.
Advises Foreman and Mechanics of the budget; helps them set priorities for work orders, repairs, training, and keeps them up to date on internal systems, diagnostic tools, and software.
Manages the development, implementation, and administration of the department records systems; oversees, monitors, and controls the quality of the data entry.
Coordinates billing for other departments to ensure their vehicles are inspected and repaired in a timely manner.
Files forms with TCEQ for the certification of the underground fuel tanks. This includes coordinating with other departments to get all the required information and signatures.
Communicates with vendors pertaining to equipment repairs/purchases and facility needs. Requests updates, relays information to the appropriate party and obtains quotes.
Inputs fuel cards for all Denton County employees and sends monthly reports to each department reflecting fuel usage.
Manages the key cabinet and ensures that they are in order.
Orders all the office and shop supplies and processes all purchase requisitions.
Ensures all permits for the shop and facility are current.
Prepares the information on the equipment that is going to auction and checks in all the new vehicles for all departments.
Manages the timecards, recording time off schedules, on-call time, etc.
Regular and punctual attendance required.
Performs other related duties as required.
Minimum QualificationsHigh School Diploma or GED and a minimum of three years of construction administration experience; or an equivalent combination of education and related experience required.
Proficient in Microsoft programming (Word, Excel, PowerPoint, etc.) required.
