An Administrative Assistantposition is available with the City of Fort Worth Police Department / Medical Records Unit (MRU). The position provides service to all PD personnel (sworn and civilian) serving over 2,300 personnel. The unit's workload is constant, the demands are high and priorities can change with little notice. Primary responsibilities include processing the Workers' Compensation and Return to Work Program; provide consultation, information, and resources relating to the various City leave programs to PD personnel, provide training and education to the PD employees, supervisors, and managers.
Minimum Qualifications: - Associate's degree from an accredited college with major course work in Business Management, Public Administration, Business Administration or related field
- Four (4) years of responsible clerical and administrative experience
- Must pass Drug Screen, Fingerprint background check, and Polygraph screening
Preferred Qualifications: - Human Resources experience, working with Workers' Compensation claims, employee information and benefits, medical cases
- Working knowledge of FMLA, transitional/light duty return to work programs, and implementing ADA requirements
- Experience working in law enforcement, public safety, or municipal government environment
- Prior experience using HR or case management systems to track medical and leave data
- Proficiency with Excel, databases, and case tracking systems
The Administrative Assistant job responsibilities include: - Process Workers' Compensation (WC) case cycles from inception to closure, including processing claims in coordination with City Human Resources, Risk Management, and the third-party administrator; facilitating the Temporary Transitional Duty Program and ensuring timely issuance of Bona Fide Assignment Offer Letters and extensions; and attending case hearings to provide testimony and case updates as required.
- Provide consultation, information and internal resources to PD personnel on various leave programs, such as the Family Medical Leave Act (FMLA), the City's Paid Parental Leave Program, and other benefit programs.
- Make timely and accurate updates in the workers' compensation database and internal duty status spreadsheet regarding an employee's work and leave statuses.
- Serve as a liaison between the Department and external third-party administrators' vendors for FMLA and ADA (i.e. respond to requests for information from employees, supervisory and management staff, representatives from other City Departments, and external parties).
- Respond to requests for information from employees, supervisory and management staff, representatives from other City Departments, and City third-party administrators.
- Perform a wide variety of Medical Records Custodian duties such as heavy telephone, in-person, and email interaction with external and internal parties.
- Organize, log and retain medical records in compliance with the City's records retention schedules.
- Support digitization of medical record documentation, and implementation of process improvements.
- Assist the Unit Supervisor and aid in other projects as assigned.
