Senior Accounting Clerk
Description
Full-time position available with the Water Department, Remittance Division located at 4800 E. 63rd St.
Salary Range: $19.27-$29.39/hour
Normal Work Days/Hours: Monday-Friday, 7:30 a.m.-4:30 p.m.

Responsibilities
- Evaluates Lockbox exception items submitted through the Customer Decision Tool and determines whether payments can be posted or must be rejected
- Reviews Lockbox rejected checks returned by Commerce, determines whether payments can be posted or must be returned to the customer
- Performs account research on Lockbox payments that failed automated posting and were sent to the suspense account, identifying the correct customer and premise information to enable proper payment application.
- Opens and reviews mailed-in payments, verifies totals when multiple bills are included, and prepares valid payments for processing; returns invalid items to customers with explanation letters.
- Verifies and submits ACH and WCHK payment totals to support accurate electronic file processing and reconciliation with external systems.
- Updates customer account or routing details in the CIS system based on ACH Notifications of Change to maintain accurate payment records.
- Reverses returned ACH and WCHK payments, applies applicable fees.
- Issues notification letters, and documents return details in the CIS system.
- Processes credit balance refund requests by verifying refund activity, updating tracking tools, and documenting refund status and check details in the customer account
- Handles credit balance transfers by verifying account ownership, completing transactions in the CIS system, and documenting transfer details on both accounts.
- Transfers misapplied payments by verifying payment history, correcting the transaction in the CIS system, and documenting the transfer on both accounts.
- Cancels ACH payments by removing either a single scheduled draft or the full auto-draft setup, based on the type of request, and documents the cancellation in the CIS system.
- Corrects deposit errors by reversing fully misapplied deposits or adjusting partial amounts in the CIS system, ensuring accurate documentation is recorded in the customer account.
- Scans and logs returned checks and prepares documentation for proper storage and tracking.
- Communicates with customers to resolve payment and account-related issues through phone and email correspondence.
- Completes assigned EWQs, focusing on determining separation and conducting in-depth research for missing and misapplied payments, including verifying valid proof of payment submitted by customers.
- Provides backup support for processing night drop payments when cashiers are unavailable.
- Performs related duties as assigned.
Qualifications
REQUIRES high school graduation and 3 years of increasingly responsible experience in accounting/bookkeeping and related clerical work, including at least 1 year at the level of Accounting Clerk; OR an equivalent combination of qualifying education and experience.
Preference given to candidates with experience handling returned payments, posting corrections, and maintaining detailed account documentation using KWIC or a similar Customer Information System. Other Information
